Why operational obligations fall through the cracks

There is a structural reason that insurance renewals and lease deadlines are under-tracked at small nonprofits: no one sends you a compliance reminder. With grants, the funder sends check-ins. With IRS filings, the filing deadline is well-documented. With insurance and leases, the obligation is in a document that was signed, filed, and largely forgotten.

The insurance broker may send a renewal packet. The landlord may send a lease renewal letter. But if those documents land when no one has a system to route and act on them, they get buried.

What you are tracking: Not just the policy expiration date, but the notice window, the period before expiration during which you need to act if you want to renew or change coverage.

Most commercial insurance policies have a 30-to-60-day notice window. Some require you to notify the insurer within that window if you intend to cancel or modify coverage. Others require you to request renewal actively. The specifics are in your policy documents.

What to do: Pull your current insurance declarations page for each policy you carry. Common policies for nonprofits include:

Why D&O matters particularly: Directors and officers liability protects your board members personally from legal action arising from their governance decisions. A board that does not know whether D&O coverage is current is a board operating with unacknowledged risk. Include D&O renewal on your board's compliance agenda.

Lease renewal tracking

What you are tracking: Not just the lease end date, but the renewal notice window, the period before the end of the lease during which you must notify your landlord if you intend to exercise a renewal option, or before which you must begin negotiations if you want to stay.

Most commercial leases require 60 to 90 days advance notice for renewal decisions. Some require 120 or 180 days. If you miss the notice window, you may lose the renewal option, even if your lease includes one, or find yourself negotiating from a weaker position with less time.

What to do: Pull your current lease. Find three things: the lease end date, the renewal option provision (if any), and the notice requirements. Add a calendar alert for the start of your notice window, not the end of the lease.

Why this matters at a small nonprofit: Unplanned relocation is extremely disruptive and expensive. Donor trust, program delivery, and staff stability all depend on operational continuity. A lease renewal missed because no one tracked the notice window can trigger a forced move that costs far more in time and resources than any routine compliance task.
